What Property Owners Say

"Twelve units across three buildings and I used to lose every second Sunday to bills and rent tracking. Now the bills file themselves under the right property and I check the app for ten minutes."
Daniel Moreau
Owner, Moreau Properties — Ottawa, ON
"Move-outs were the worst part of the month: change the customer, zero the invoice, remember to start it again. Instant Books does all of that when I mark the unit vacant, and the rent roll is always right."
Priya Nair
Property Manager, Lakeshore Rentals — Burlington, ON
"Same price at 40 doors as at 8. Every owner statement comes straight out of books that are already current. At quarter-end I just pull a report; it takes me much less time."
Marcus Bell
Managing Partner, Bell & Co. Property Management — Tampa, FL

Questions?

Here's what landlords and property managers ask before getting started.

How much time will I actually save?

Most landlords and property managers cut their bookkeeping time by 80%. If you spend an evening a week on bills, rent tracking and bank reconciliation, expect to get down to under an hour, mostly reviewing what Instant Books has already done.

Does the price go up with more properties?

No. One flat monthly rate covers any number of properties and units. Expenses and income are tracked per property, so you still see each one on its own.

How does the rent roll work?

Each property has units, and each unit has a lease. Rent, parking and extras are invoiced on schedule from the lease. Moving a tenant in asks for the start date, rent and extras, prorates the first month and invoices last month's rent if you collect it. Moving one out ends the lease and invoices the unit as vacant until the next lease starts, so vacancies are visible instead of silent.

Do I need to leave QuickBooks?

Instant Books keeps a full set of books: bills, bank, invoices and reports. Most property owners move over and stop paying for QuickBooks. If you prefer to keep it, Instant Books can do the data entry alongside it.

How long does setup take?

About 20 minutes for the books: connect your bank, give Instant Books access to your accounting inbox, and name your properties. Setting up units and leases takes a few minutes per property.

What about my accountant?

They get current, organized books per property with every bill attached. Year-end stops being a shoebox exercise. Many accountants tell us their property clients on Instant Books are the easiest to work with.

Is it a property management system?

No. Instant Books does the accounting. Tenant screening, maintenance requests and listings stay in whatever you use for those today. Rent deposits from any platform show up in your bank and are matched like any other transaction.

Does it work for short-term rentals?

Yes. Platform payouts land in your bank and are matched to the property, and cleaning, supplies and utility bills are captured from your inbox like any other expense.
